1. Who we are

Kudos AV is an event production company providing audio visual production, lighting, staging, video, live streaming and related services across the UK. Kudos AV is a trading name of Kudos Roadshow Ltd, which is the data controller for the personal data described in this policy.

2. The data we collect

We collect personal data in the following situations:

  • Enquiries and quotes: your name, email address, phone number, company or organisation, event details and any information you include in your message.
  • Clients and suppliers: contact details, billing information, site and venue details, and correspondence needed to deliver a project.
  • Website analytics: device and usage data such as IP address, browser type, pages visited and referral source, collected through cookies and similar technologies.
  • Recruitment: your name, contact details, CV, work history, qualifications and anything else you choose to tell us when you apply for a role or for our graduate scheme.
  • Freelance register: your name, contact details, CV, the disciplines you work in, where you are based, your day rate, your experience and any tickets or certifications you hold, where you ask to join our freelance crew register.
  • Crew and contractors working with us: right to work information and relevant qualifications.

We do not knowingly collect data from children and our services are directed at businesses and adults.

3. How we use your data and our lawful bases

  • To respond to enquiries and prepare quotes: legitimate interests, or steps taken at your request before entering a contract.
  • To deliver events and services, including sharing details with venues and crew: performance of a contract.
  • To invoice and take payment: performance of a contract and legal obligation.
  • To keep accounting and tax records: legal obligation.
  • To improve our website and marketing: legitimate interests, and consent where required for non essential cookies.
  • To send occasional marketing about our services to business contacts: legitimate interests, with the right to opt out at any time.
  • To consider you for a role, our graduate scheme or freelance work, and to keep your CV on file so we can come back to you when something suitable comes up: consent, which you give when you submit the form and can withdraw at any time by emailing us.

4. Who we share data with

We share personal data only where necessary to run our business and deliver your event:

  • Trusted subcontractors, freelance crew and venue teams working on your project.
  • Service providers who process data on our behalf, including website hosting (Vercel), database and storage (Supabase), payment processing (Stripe) and transactional email (Resend).
  • Professional advisers, insurers and, where required, HMRC or other authorities.

We never sell your personal data.

5. International transfers

Some of our service providers process data outside the UK. Where this happens we rely on UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement or standard contractual clauses with the UK addendum.

6. How long we keep data

  • Enquiries that do not become projects: up to 24 months, so we can assist if you return.
  • Client and project records: 6 years after the end of the engagement, in line with contractual and tax requirements.
  • Marketing contacts: until you opt out or the data becomes inactive.
  • Job applications and CVs: 24 months from the date you apply, unless you join us or ask us to remove them sooner.
  • Freelance register entries and CVs: 24 months from the date you register, unless you ask us to remove you sooner. Ask at any time and we will take you off the register and delete your CV.

7. Your rights

Under UK GDPR you have the right to access your data, correct it, ask us to delete it, restrict or object to processing, request portability, and withdraw consent where processing is based on consent. To exercise any right, email info@kudosav.com. We respond within one month.

If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk, although we would welcome the chance to resolve any concern first.

8. Cookies and analytics

Our website uses essential cookies to function and, with your consent where required, analytics cookies to understand how the site is used. You can control cookies through your browser settings and any consent banner on the site.

9. Security

We protect personal data with appropriate technical and organisational measures, including encrypted connections, access controls, and row level security on our databases. CVs sent through our careers and freelance pages are held in private storage that is not publicly accessible, and are seen only by the people responsible for hiring and crewing. Kudos AV holds ISO 27001 certification for information security.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page with the date of publication shown above.
